Privacy Policy

1. Introduction

This Privacy Policy explains how linker Team ("we", "us", "our") collects, uses, stores, and discloses information in connection with the Service. By using the Service you consent to the processing described below.

2. Data We Collect

We collect only what is necessary for functionality. Categories include:

  • Identifiers & Configuration: server IDs, channel IDs, feature flags, server settings
  • Discord OAuth: encrypted access and refresh tokens for the identify, guilds, and guilds.join scopes. The last scope grants linker permission to add your authorized account to a server where the linker bot is already present; linker does not currently add users to servers automatically.
  • Message Metadata: message content and metadata when required to provide a feature
  • Optional Server Logs: when enabled by a server administrator, message changes and cached deleted text, attachment links, account and channel IDs, joins and leaves, and linker punishment details are recorded in a private forum in that server. Log contents are not synchronized to Cloudflare. Only setup information, available forums, and enabled modules are synchronized for dashboard controls.
  • Operational Logs: diagnostic logs and event metadata for stability and abuse prevention
  • Vote Rewards: Discord user ID and the time a top.gg vote was received, used to grant and expire the 12-hour Voter role
  • Global Chat Media: supported images, GIFs, stickers, and public-link previews up to 25 MB are copied to Cloudflare storage and expire after 14 days. Supported animated APNG and Lottie stickers are converted to GIF. Custom emojis, including recognized FakeNitro links, may be copied into linker's Discord application emoji collection for reuse; those Discord emoji copies do not have the image storage expiry.
  • Custom Message Layouts: server IDs, the submitting administrator's Discord ID, layout fields, request and review timestamps, moderator decisions and IDs, reasons, and notification delivery status are processed to review and apply server-specific Global Chat layouts for Premium servers. A preview and review controls are sent to a private linker moderation channel. Requests pass through Cloudflare and are stored on the bot. Restoring the standard layout applies without a moderation decision and cancels pending layout requests.

3. Purpose & Legal Basis

We process data to operate and maintain the Service, ensure security, prevent abuse, and comply with legal obligations. Processing is based on legitimate interests and contractual necessity where applicable.

4. Sharing & Disclosure

We do not sell personal data. We may disclose data:

  • To the platform (Discord) as required for operation
  • To service providers for hosting, security, or maintenance under contract
  • To legal authorities when compelled by law

5. Storage & Retention

Retention follows a minimal principle:

  • Configuration data is retained while features are active. For custom Global Chat layouts, the current configuration and latest request are kept while needed; older finalized or superseded request history on the bot is removed after 30 days. Discord moderation preview messages have separate retention and are not removed by this cleanup.
  • Message content is processed transiently and not stored beyond functional need unless explicitly configured
  • Global Chat image copies expire automatically after 14 days
  • Server log entries use the administrator-selected expiry of one minute to 90 days to limit retention of deleted messages and personal information. Cleanup requires linker to be online with access; backlogs or missing permissions can delay deletion. Post headers and staff replies remain. Removing the bot does not remove existing Discord log entries; server staff must manage those records themselves.
  • The author's Discord user ID, original and forwarded message IDs, channel IDs, and timestamps are kept on the bot host for up to seven days to identify senders for moderation and remove messages across linked servers. These records contain no message text and are not synchronized to Cloudflare.
  • Upon removal of linker, we will cease processing and delete or anonymize stored configuration within a reasonable time

6. Security

We implement reasonable technical and organizational safeguards to protect processed data. No system can guarantee absolute security.

7. Your Rights

Depending on your jurisdiction, you may request access, correction, or deletion of stored configuration data. To make requests, contact privacy.linker@itsfatlum.de.

8. Children

The Service is not intended for children under the minimum age required by applicable law. We do not knowingly collect information from children below that age.

9. Changes to This Policy

We may update this Policy. Material changes will be published and the Effective Date will be revised. Continued use indicates acceptance.
